The problem
Agencies and teams often need non-admins to manage forms or triage leads. Handing out Administrator just so someone can open the inbox is a security risk—and a support headache.
The solution
Map WordPress roles to forms and inbox capabilities. Give Editors (or a dedicated “Form manager” role) access to build forms and work submissions—without opening full site admin.
Typical setups
Editors manage forms and leads
- Open the role / access settings in admin.
- Grant your Editor role access to forms and the submissions inbox.
- Leave site-wide settings to Administrators.
Editors can work day-to-day forms and leads. They do not need to touch site options or other plugins.
Custom “Form manager” role
- Create a custom WordPress role (via a roles plugin or your own code) with only the capabilities you want.
- Map that role to forms and/or inbox access.
- Assign the role to teammates or client contacts who should never see the rest of wp-admin.
This keeps the surface area small: forms and submissions, nothing else.
Good practice
- Prefer a dedicated role over promoting people to Administrator.
- Review who can export submissions—exports may contain personal data.
- Combine with the client portal when clients should see leads outside wp-admin entirely.
